Terms of Service

The short version: Vendor Pilot is a paid subscription for your business. It renews automatically each month or year until you cancel, and you can cancel any time from Settings → Billing. When you cancel, you keep access until the end of the period you paid for, and we don't refund partial periods. Use it to find and apply to events, not to copy our listings or misuse organizers' contacts. Questions go to support@vendorpilot.app.
The agreement
These terms are an agreement between you and VendorPilot LLC, an Idaho limited liability company (“Vendor Pilot,” “we,” “us”). “You” means the business organization that holds the Vendor Pilot account and the person accepting these terms for it. If you accept on behalf of a business, you confirm you are allowed to bind it.
You accept these terms when you create an account, start a trial, or subscribe, wherever the screen says that continuing means you agree. Our Privacy Policy explains how we handle your data and is part of this agreement.
What Vendor Pilot does
Vendor Pilot helps vendors find events such as farmers markets, festivals, fairs, and city events, and keep track of their applications. Event listings are gathered from public sources and can be incomplete, out of date, or wrong. A listing is not an invitation, and we don't promise that any organizer will accept you. Check dates, fees, and requirements with the organizer before you rely on them.
We aren't a party to anything between you and an event organizer. Applications, fees, and agreements with organizers are between you and them.
Accounts and organizations
- Vendor Pilot is a business tool, so use it for your business. The owner who creates the organization and subscribes must be at least 18, or the age of majority where they live if that is older.
- Members the owner invites must be at least 13. An owner who invites someone under 18 confirms that their parent or guardian agrees, and is responsible for how they use Vendor Pilot.
- Give us accurate information, and keep it up to date.
- Each account belongs to an organization. The organization's owner controls the account, its subscription, and its data. Members you invite use it on the organization's behalf, and the organization is responsible for what they do in it.
- Keep your sign-in details to yourself, and tell us at support@vendorpilot.app if you think someone else has used your account.
Free trial
New organizations can try Vendor Pilot free for 14 days, without a card. If you haven't added a card when the trial ends, your access ends and nothing is charged. If you add a card during the trial, your paid subscription starts when the trial ends and your card is charged then. Each organization gets one free trial.
Plans and fees
- The plan costs $29.99 a month, or $299.88 a year if you pay annually. Prices are in US dollars, plus any tax that applies.
- The price includes one member. Each additional member, including anyone with a pending invitation, adds $9.99 a month. On an annual plan, additional members are billed for the whole year up front, and a member added partway through a period is billed when you add them.
- Checkout shows the exact amount, how often it's charged, and when, before you confirm.
- Payments are processed by our billing providers, Clerk and Stripe. We never see or store your full card number.
- Your subscription keeps the price it started at. When our prices change, new subscriptions use the new price. If we ever change the price of an existing subscription, we'll email the organization's owner at least 30 days ahead, and it takes effect at the first renewal after that, so you have time to cancel first.
Automatic renewal
Your subscription renews automatically at the end of each billing period, monthly or yearly depending on what you chose, until you cancel. At each renewal we charge the card on file the plan price and the price of your members at that time. If a payment fails, we may pause access until it goes through.
Canceling
You can cancel at any time in Settings → Billing, or by emailing support@vendorpilot.app. Canceling stops future renewals. You keep access until the end of the period you've already paid for, and you won't be charged again.
Refunds
Payments are non-refundable. We don't give refunds or credits for partial periods, unused time, or members removed partway through a period, except where the law requires it. If you think we charged you by mistake, write to support@vendorpilot.app. We'll put it right.
Beta access
Organizations in our beta use Vendor Pilot free until the end date we've given them. After that, keeping access takes a paid subscription on these terms. We'll email the owner before beta access ends.
Acceptable use
Use Vendor Pilot to find, apply to, and keep track of events. Don't:
- Copy, scrape, export in bulk, or resell event listings or other data from the service.
- Use organizer contacts from Vendor Pilot to spam, harass, or mislead anyone.
- Share your account outside your organization, or resell access to the service.
- Try to break, overload, or get around the security of the service, or reach parts of it you aren't meant to.
- Use the service for anything illegal.
Your content
What you put into Vendor Pilot (your profile, notes, applications, and contacts) stays yours. You give us permission to store and process it only to run the service for you, as described in our Privacy Policy. If you send us feedback or ideas, we may use them without owing you anything for them.
The service itself, including its software, design, and the event listings we've compiled, belongs to us.
Ending an account
You can close your account at any time by canceling and emailing support@vendorpilot.app. We can suspend or close an account that breaks these terms or leaves a payment unpaid, and where we reasonably can, we'll tell you first and give you a chance to fix it. When an account closes, we delete its data as our Privacy Policy describes.
Changes to the service and these terms
We keep improving Vendor Pilot, so features will change. When these terms change, we update the date at the top. If a change materially affects your rights or what you pay, we'll email the organization's owner before it takes effect. Using the service after that means you accept the new terms.
Disclaimers and liability
Vendor Pilot is provided “as is.” We work to keep it running and accurate, but we don't promise it will be uninterrupted, error-free, or that its listings are complete or correct.
To the extent the law allows, we aren't liable for indirect or consequential losses, such as lost sales, missed events, or lost profits. Our total liability for any claim about the service is limited to what your organization paid us in the 12 months before the claim. Some places don't allow these limits, and where that's the case they apply only as far as the law permits.
Governing law
These terms are governed by the laws of the State of Idaho. Any dispute about them or the service goes to the state or federal courts located in Idaho. Before anyone files, we ask that you write to us first so we can try to sort it out.
